2. Refund & Cancellation Policy

This policy ensures fairness to participants while protecting the operational viability of the conference.

2.1 Registration Fees

  • Registration is confirmed only after full payment is received.
  • Registration fees cover administrative, academic, and logistical costs.

2.2 Cancellation by Participant

  • Cancellations received on or before 1 March 2026:
    50% refund of the registration fee (administrative costs deducted)
  • Cancellations after 1 March 2026:
    No refund
  • No-shows:
    → No refund

2.3 Visa-Related Issues

  • Invitation letters are provided to support visa applications but do not guarantee visa approval.
  • Failure to obtain a visa does not automatically entitle a participant to a refund.
  • Where possible, participants may request:
    • Transfer to online participation, or
    • Deferral to a future conference edition (subject to approval).

2.4 Conference Changes or Force Majeure

In the event of circumstances beyond the organisers’ control (including but not limited to public health emergencies, government restrictions, natural disasters, or force majeure):

  • The conference may be moved online, rescheduled, or cancelled.
  • Registration fees may be transferred to a future edition or converted to online participation.
  • The organisers are not liable for travel, accommodation, or related expenses incurred by participants.

2.5 Policy Amendments

ICFTSDE 2026 reserves the right to amend these policies where necessary. Any updates will be published on the conference website.
